Scheduling a Class Session

  1. Log into LibCal and navigate to:
    Events → Instructional Activity in RCL

Choose a Template

  1. Click "Add New Event" near the top-left of the calendar
  2. For Learning Initiatives/Research Initiatives: Select an appropriate template from the dropdown. For classes, choose ARL Stat: Class to ensure that your class session is counted appropriately in our annual ARL statistics.
    For all other staff: Select "Create from Scratch" to create a new event for your class

Event Date/Time

  1. Set the date, start time, and end time for your class. Do not add any "padding" unless there is significant setup or teardown time required that would prevent another staff member from using the space.

Title & Event Info

  1. The event title should be the name course number course title (e.g. HIST 110 The Making of Modern Africa)
  2. Optional: Select a related LibGuide – a link to this LibGuide will appear in the event description
  3. Optional: Create a friendly URL to easily link to and retrieve the published event (e.g. https://libcal.lib.rochester.edu/calendar/RCLinstruction/hist110-fall2021)

Event Location

  1. For in-person events, choose "Onsite Event." Common locations/spaces include:
    • Instruction Suite A
    • Instruction Suite B
    • In professor's classroom
    • Lam Square Pop-up
    • Online/Zoom
    For online events, you have several options:
    • Onsite Event – set the location/space to "Online/Zoom"
      This is the most common option and is appropriate for most class sessions.
    • Online Event via Zoom
      This is the best option if you would like LibCal to automatically generate a meeting ID for your event – the meeting ID will not be your personal meeting room!
    • Online Event via Facebook Live
      Use this option if you want to create your Zoom link and have the link appear in the published event details

Event Details

  1. Choose an appropriate "Library" from the dropdown list
  2. The "Equipment" and "Audience" field should be left blank
  3. If you are leading and coordinating the class session, you are the event organizer. If you are scheduling the class on behalf of another library staff member, choose their name from the "Event Organizer" dropdown list
  4. Enter the faculty member's first initial and last name in the "Presenter" field (e.g. S Anthony) – this field is displayed on RCL signage to help students identify their class sessions
  5. Fill in the "Anticipated Attendance" field based on the number of students you anticipate attending; enrollment numbers can be found in UR's Course Description/Course Schedule (CDCS) system
